  • Top of the Crop Labour Hire require an Office Manager to join their team in North Queensland.

    Position Purpose

    The Office Manager is responsible for managing the day-to-day administrative operations of Top of the Crop Labour Hire's office in Ayr. The position oversees office administration systems, records management, compliance documentation, resource coordination and administrative support functions required for the effective operation of the business.

    Working closely with Management, clients, operational teams and employees, the Office Manager ensures administrative processes are efficient, accurate and compliant with company policies, employment obligations and operational requirements.

    The role provides supervision and support to administrative staff, coordinates office resources and contributes to continuous improvement initiatives to enhance operational efficiency and service delivery.

    Key Responsibilities

    Office Management & Operational Coordination:
    • Manage the daily operations of the Ayr office and oversee administrative activities.
    • Develop, implement and maintain office administration systems, procedures and workflows.
    • Maintain accurate business records, employee files and operational documentation.
    • Manage office facilities, equipment, vehicles and administrative resources.
    • Coordinate purchasing activities, supplier relationships and office service requirements.
    • Maintain the company's information management systems and ensure data accuracy.
    • Prepare administrative reports and provide operational updates to management.
    • Identify opportunities to improve office processes and administrative efficiency.
    Workforce Administration Support:
    • Coordinate administrative processes relating to employee onboarding, induction documentation and personnel records.
    • Maintain workforce databases, visa records and employment documentation.
    • Provide administrative support for timesheet processing, payroll preparation and workforce reporting.
    • Liaise with operational teams, clients and employees regarding administrative matters.
    • Support accommodation and transport administration arrangements where required.
    Leadership & Team Management:
    • Provide day-to-day supervision and coordination of Welfare Support Officers who assist with administrative processes, employee documentation and workforce support services.
    • Allocate workloads, monitor performance and support staff development.
    • Foster a professional, inclusive and collaborative workplace culture.
    • Support management with workforce planning, training and succession planning initiatives.
    Compliance & Risk Management:
    • The role maintains administrative systems and documentation to support compliance with applicable employment, immigration and business requirements, including obligations associated with labour hire operations.
    • Maintain workforce records, visa documentation and compliance reporting systems.
    • Coordinate audits, inspections and compliance reviews, ensuring documentation is accurate and audit-ready.
    • Support workplace health and safety initiatives and promote safe work practices.
    • Identify operational risks and implement corrective actions where required.
    • Maintain confidentiality and integrity of business and employee information.
    Stakeholder Engagement:
    • Build and maintain positive relationships with clients, accommodation providers, transport providers, government agencies, medical professionals and community organisations.
    • Coordinate workforce support services and assist in resolving employee and operational issues.
    • Support accommodation inspections, vehicle inspections and general workforce welfare activities.
    Continuous Improvement:
    • Review and improve administrative processes to enhance efficiency and service delivery.
    • Contribute to organisational planning, workforce management initiatives and business improvement projects.
    • Support the achievement of operational, compliance and workforce objectives.
    Essential Selection Criteria:
    • Demonstrated at least one-year experience in office management, operations management or a similar role.
    • Proven experience leading and supervising staff.
    • Strong organisational, administrative and problem-solving skills.
    • Excellent communication and stakeholder relationship management skills.
    • Ability to manage multiple priorities in a fast-paced operational environment.
    • High-level proficiency in Microsoft Office and workforce administration systems.
    • Strong attention to detail and commitment to accuracy.
    • Current Australian Driver Licence.
    Desirable Criteria:
    • Experience working with PALM Scheme participants or culturally diverse workforces.
    • Knowledge of labour hire operations, workforce compliance and employment legislation.
    • Experience coordinating accommodation, transport and workforce logistics.
    • Experience with payroll administration and workforce reporting systems.
    • Experience using SharePoint or workforce management platforms.
