Northside Rentals is a vehicle, plant and equipment hire company. Our offices are based in Perth, WA, however our fleet extends Australia wide.
We are currently seeking an Office Manager to join our team in Karratha Industrial Estate, WA.
The Office Manager is responsible for for coordinating and managing the day-to-day administration and office operations of Northside Rentals, ensuring that office systems, rental administration, personnel records, resources and internal processes operate efficiently and consistently across the business.
Main duties:- Plan, coordinate and review office administration systems, procedures and workflows, including Rental Car Manager (RCM), internal company applications, Sling rostering system and other office systems used within Northside Rentals.
- Coordinate and allocate administrative tasks to Rental Agents and administration staff, providing guidance and assistance where required to ensure duties are completed accurately and efficiently.
- Manage and coordinate office resources, suppliers, equipment, facilities, travel requirements and other business services required for the effective operation of Northside Rentals.
- Maintain accurate office records, databases and document management systems, including Rental Car Manager, Sling rostering, internal applications, employee documentation and operational records.
- Coordinate recruitment administration, employee onboarding, inductions and training, ensuring new employees are provided with the appropriate information, systems access and training required to perform their duties.
- Assist with personnel administration, employee records, HR documentation, payroll information and the implementation and communication of company policies and procedures.
- Coordinate and review timesheets, leave records, purchase orders, invoices and other administrative documentation, ensuring records are completed correctly and submitted or processed within required timeframes.
- Coordinate meetings, interviews, employee training and other office activities, while providing ongoing administrative support to the Operations Manager and other management personnel.
- Maintain administrative records and supporting documentation required for internal reviews, audits, compliance requirements and operational activities.
- Monitor office and rental administration procedures to ensure compliance with Northside Rentals' policies, workplace health and safety requirements and relevant legislation.
- Liaise with Rental Agents, employees, customers, suppliers and contractors regarding administrative matters and resolve or appropriately refer issues requiring further management review.
- Assist in monitoring office communications and administrative processes, including customer emails, rental documentation, tax invoices and other records, to ensure information is being processed and maintained correctly.
- Coordinate and review administrative processes relating to customer reservations, rental documentation and Rental Car Manager records to ensure information is accurate and rental operations can run efficiently.
- Assist with the review and administration of vehicle stocktake records, ensuring information is completed accurately and vehicle availability records are properly maintained.
- Monitor administrative processing of infringements and associated documentation, ensuring records are completed correctly and forwarded to the appropriate customer or relevant authority in accordance with company procedures.
- Identify, recommend and implement improvements to office systems, administrative procedures and workflows to improve efficiency, accuracy and service delivery.
- Support management in ensuring administrative staff and Rental Agents understand and follow relevant company procedures and provide guidance where administrative processes require improvement.
- Perform all other reasonable duties assigned from time to time by the Employer, Operations Manager and/or General Manager.
Requirements:- Relevant Diploma or higher qualification in a related field and one (1) years full-time relevant work experience, or
- A minimum of two (2) years' full-time relevant work experience as an Office Manager or in a closely related administrative management position
- Demonstrated experience coordinating office operations within a construction, engineering, mining or similar project-based environment.
- Experience supervising or coordinating administrative functions and office workflows.
- Sound knowledge of office management systems, document control and administrative procedures.
We are also looking for an enthusiastic and experienced Motor (Light Vehicle) Mechanic to join our team in Perth.
Duties and Responsibilities:- Maintenance and servicing of Internal fleet
- Must be able to service and repair a large fleet of vehicles, trucks & buses
- Must be able to Mine Spec vehicles, trucks & buses
- Must be able to diagnose and repair electrical issues
- Must be able to fit tyres to LVs and Light Trucks
- Must be able to work in a team
- Must be able to work independently
- Must be reliable and punctual
Skills and Experience:- Heavy Vehicle or Light Vehicle Mechanical Trade Certificate
- 2+ years' experience
- Mine spec experience or basic knowledge
- HR Licence ideal but not required

Renumeration for these roles:Additionally, we are looking for a Fleet Manager to join our team in Welshpool. The Fleet Manager is responsible for organising and controlling the buying, selling, leasing and hiring of vehicles across Northside Rentals and NSR Hire's fleet. The role manages the full lifecycle of the company's rental fleet - procurement, registration, compliance, maintenance and disposal - while coordinating vehicle leasing and hire arrangements, liaising with clients on vehicle requirements, and ensuring the fleet is operated safely, efficiently and profitably.
Applicants must have:- A qualification comparable to an AQF Associate Degree, Advanced Diploma or Diploma, or at least three years of
relevant fleet, rental or transport industry experience in lieu of formal qualifications. - Demonstrated experience in fleet coordination, vehicle rental/leasing operations, or transport/logistics
management. - Sound knowledge of vehicle registration, licensing and roadworthiness compliance requirements.
- Strong negotiation and supplier/contract management skills.
- Excellent client-facing and customer service skills.
- Proficiency in fleet management or business software systems, and general record-keeping and reporting skills.
- Current Australian driver's licence.
- Working knowledge of workplace health and safety obligations relevant to fleet and vehicle operations.
A salary of $90,000 - $95,000 will be offered to the successful candidate.
